1) Acceptance of Terms
By accessing or using CareerSeat (“Service”), you agree to these Terms of Service (“Terms”). If you are using the Service on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms.
2) Who We Are & Roles
CareerSeat provides recognition, objectives, awards and leaderboard tools for organisations. For data protection roles, please see our Privacy Policy. In short: your organisation is generally the controller for employee data; CareerSeat acts as a processor. For website/marketing and account-level operations, CareerSeat acts as a controller.
3) Accounts & Security
- You must provide accurate information and keep your login secure.
- Do not share credentials or attempt to access accounts you do not own.
- We may place an administrative lock on an account (see §7) to protect users, organisations, or the platform.
4) Fair Use (“Don’t Be a Jerk”)
Use the Service respectfully and lawfully. Prohibited behaviour includes:
- Harassment, discrimination, hate or abusive content; doxxing or threats.
- Posting illegal content or violating others’ rights (privacy, IP, confidentiality).
- Gaming or manipulating awards, votes, or leaderboards; creating fake/duplicate users.
- Reverse engineering, scanning, scraping, or attacking the Service or its security.
- Spam, malware, or any action that degrades availability for others.
5) Organisation Responsibilities
- Admins control visibility (public/private) of awards, objectives, leaderboards.
- Organisations are responsible for lawful use, employment compliance, and content posted.
- Removing/locking users in line with company policy is the organisation’s responsibility; we provide tooling to support this.
6) Content & IP
- Your content: You (or your organisation) own the content you upload. You grant CareerSeat a limited licence to host, process, and display it to provide the Service.
- Platform IP: We retain all rights to the Service, software, design, and brand.
- We may remove content that violates these Terms or applicable law.
7) Enforcement: 3-Strike System & Account Locks
We prefer warnings over bans, but we will protect users and the platform.
- Strike 1 – Warning: We notify the user (and/or org admin) of the violation. We may limit certain features temporarily.
- Strike 2 – Suspension: Temporary suspension or administrative lock (e.g., up to 30 days). Reinstatement may require acknowledgement or admin approval.
- Strike 3 – Termination: Account closure and potential IP/email blocking.
Immediate lock without 3 strikes may occur for severe issues: fraud, data breach, credible threats, large-scale abuse, or legal requests. Organisations may also request a lock for internal policy reasons; we may comply at our discretion.

8) Billing, Plans & Monitoring (from 2026)
- CareerSeat is free until January 2026. Admins may ignore any internal billing countdown before that date.
- From 2026, pricing follows the plans on Fees.
- We will monitor the maximum number of linked user accounts your organisation has in any calendar month to apply the correct tier.
- If you believe a linking error occurred, contact support@careerseat.com promptly to avoid an up-charge.
- Unless stated otherwise, subscriptions renew monthly. Cancellations take effect at the next renewal; partial periods are typically non-refundable.
9) Service Changes & Availability
- We may add, change, or remove features with or without notice.
- We strive for reliable uptime but do not guarantee uninterrupted Service.
- We may suspend the Service for maintenance, security, or legal reasons.
10) Privacy
Our Privacy Policy explains how we collect and process personal data, including cookies and analytics. By using the Service, you acknowledge that policy.
11) Warranties & Disclaimers
The Service is provided “as is” and “as available.” To the fullest extent permitted by law, we disclaim all warranties, express or implied, including fitness for a particular purpose and non-infringement. You are responsible for ensuring the Service suits your use case and legal obligations.
12) Limitation of Liability
To the fullest extent permitted by law, CareerSeat and its affiliates are not liable for indirect, incidental, special, consequential, or punitive damages, loss of profits, data, or goodwill. Our total liability for any claim arising out of or relating to the Service is limited to the amount you paid to us for the Service in the 12 months before the claim (or £100 if the Service was free).
13) Termination
- You may stop using the Service at any time. Organisations can request account closures via admin.
- We may terminate or suspend access for any breach of these Terms, legal requirement, risk, or prolonged inactivity.
- We may retain certain logs and records to maintain audit trails or comply with law (see Privacy Policy).
14) Governing Law
These Terms are governed by the laws of England and Wales. Courts of England and Wales have exclusive jurisdiction, except that we may seek injunctive relief in any jurisdiction.
15) Changes to These Terms
We may update these Terms from time to time. We will change the “Effective date” above and, where appropriate, provide additional notice (e.g., email or in-app). Continued use constitutes acceptance of the updated Terms.
